Team Report: Assigned Work and Capacity by Person

In brief: Team Report shows assigned hours, logged hours, and capacity per person over a period, plus what closed on time. Never a ranking.

Team Report shows how assigned work performed by team member over a selected period, defaulting to This Month. It reads through two lenses at once: effort, how many hours were assigned versus logged versus available capacity, and timeline, how many items were due, how many closed on time, and what's still open or late. It is deliberately not a leaderboard. There is no ranking, scoring, or best-to-worst ordering anywhere on this report.

What it's for


Team Report exists to spot patterns in assigned work, not to grade people. It answers: is this person carrying more assigned work than their capacity suggests, and is their assigned work landing on time? It does not show the notes behind individual time entries; that's Time Report. For the wider practice this report is meant to support, we wrote Track Team Time Effectively on the blog.


Summary cards


Four cards summarize the period: Assigned Hours, Logged Hours, Due Items, and Completed On Time. Plain, countable numbers, nothing derived or scored.


The team member breakdown


The main table shows one row per team member with capacity for the period, assigned hours, logged hours, due items, completed on time, and what's late or still open. You can sort rows by hours, but sorting is not the same as ranking: there's no best-performer framing anywhere in the report, and Net Net never uses words like best, worst, top, or score here.


How capacity is figured


Capacity comes from each person's monthly capacity setting and is prorated across the calendar days your selected date range actually covers. A one-week report shows roughly a quarter of someone's monthly capacity; a full month shows all of it. Someone with no capacity value set on their personal profile shows no meaningful capacity number for that period, so read a blank or zero capacity as missing data, not as zero availability.


Multi-assignee tasks


When a task has more than one assignee, each person's share of the task's LOE is counted toward their own assigned hours rather than the full task total landing on everyone. This keeps the workspace-wide total from double-counting shared work.


Team Member Detail


Opening a team member shows the assigned work behind their summary row: Task, Job, Company, Service Type, Assigned Hours, Logged Hours, Due Date, Completed Date, and a plain-language Timeline Status (On time, Late by X days, Still open X days late, Due in X days, or No due date). There's no separate variance column, because work that's still open isn't a failure just for being under its planned hours while it's in progress.


Team Report is read-only


If something here looks wrong, you fix it somewhere else, on purpose, so responsibility stays clean.



If a person's numbers look off, check whether their capacity setting is current before assuming their workload changed. A stale capacity value will make someone look over or under-loaded even when their actual assignments are reasonable.


Who can see it


Team Report, along with Time Report and Jobs Report, is visible to Owners and Admins only. Who holds which role is managed in Managing Team Members, Invites, and Join Requests, and what each role can reach is laid out in User Roles Explained: Owner, Admin, Lead, and Member. Individual team members see their own patterns through My Performance under Me, which is a personal mirror, not a comparison to anyone else.


Frequently Asked Questions


Is Team Report a ranking of who's performing best?


No. It is explicitly not a leaderboard. There is no best, worst, top performer, or score language anywhere in it. It exists to help owners and admins spot patterns in assigned work, not to compare people against each other.


Can I fix a wrong assignment or due date directly from Team Report?


No. Team Report is read-only. Time corrections happen in My Time. Assignment, LOE, due date, and status corrections happen on the Job's Tasks tab.


How is a team member's capacity calculated for a custom date range?


Their monthly capacity setting is prorated across the calendar days your selected range covers. A two-week report shows roughly half their monthly capacity, not their full monthly number.


What does Timeline Status mean on a team member's detail view?


A plain description of where each assigned item stands: On time, Late by X days, Still open X days late, Due in X days, or No due date. There's no single variance number because work still in progress isn't automatically a problem just for sitting under its planned hours.


If a task has three people on it, does each of them get the full LOE counted?


No. Each assignee's own share of the task's LOE counts toward their individual assigned hours. This keeps the workspace total from counting the same work three times.


Can a Lead see Team Report for people on their Jobs?


No. Team Report is Owner and Admin only, same as Time Report and Jobs Report. Leads see performance information through the specific Jobs they lead.
