Owner controls the business, Admin runs the workspace, Lead runs delivery on the Jobs they lead, and Member does the work assigned to them. Everyone holds exactly one role, picked when you invite them and changeable later from the Team table.** You'll find it under **Settings → Team**, the screen covered in [Managing Team Members, Invites, and Join Requests](https://help.netnet.app/en-us/article/managing-team-members-invites-and-join-requests-dstmjr/). # The short version Owner controls the business. Admin runs the workspace. Lead runs scoped delivery. Member does assigned work. That one line answers most questions. The rest of this article is the detail behind it. Net Net keeps the list deliberately small. There are no custom roles, no per-person permission checkboxes, and no permission builder to maintain. Four roles, clearly drawn, is the whole model. # Owner The Owner is the workspace authority. Whoever creates the workspace becomes its first Owner automatically, before anyone else is invited. An Owner can do everything an Admin can do, plus the things that belong to the business rather than to the work: * Promote someone to Owner, and demote another Owner * Change the plan and the subscription, described in [Net Net Pricing: Free Tier, 60-Day Trial, and Paid Plans](https://help.netnet.app/en-us/article/net-net-pricing-free-tier-60-day-trial-and-paid-plans-1ocomo0/) * Add or change payment information * Set **Monthly Seat Cost** on a team member Monthly Seat Cost is the only cost input in Net Net. You set it from the Team table, and it never appears on a dashboard, in Performance, or in a report. Net Net runs on effort and timeline everywhere else. | Every workspace needs at least one Owner. If you are the only Owner and you are stepping back, promote your replacement before you change your own role. # Admin The Admin runs the workspace. This is the role most operations people should hold. Admins keep things moving day to day. They invite people and set roles, approve or deny Join Requests, manage [Service Types and Service Groups](https://help.netnet.app/en-us/article/service-types-and-service-groups-what-each-one-does-y89pui/), manage [Deliverable Types](https://help.netnet.app/en-us/article/deliverable-types-and-setting-your-primary-industry-1v0aa7o/), manage [Contacts](https://help.netnet.app/en-us/article/companies-people-and-individuals-contact-records-1piobx5/), oversee Jobs across the workspace, and act on Performance signals anywhere in it. What an Admin does not own is the business layer. Promoting an Owner, changing the subscription, and changing payment information all stay with the Owner. That separation is the point of having both roles: an Owner can hand over the running of the workspace without handing over the keys to the business. # Lead The Lead is a scoped delivery role. A Lead works inside the delivery system rather than above it. Leads run the Jobs they are responsible for. They can [plan and edit those Jobs](https://help.netnet.app/en-us/article/plan-stepper-how-to-build-a-job-plan-step-by-step-95jz87/) while the plan is still Pending, manage the Job team, create [Change Orders](https://help.netnet.app/en-us/article/change-orders-how-to-add-scope-to-a-locked-job-plan-1gplwsw/), and [act on drift signals](https://help.netnet.app/en-us/article/responding-to-drift-what-you-can-actually-do-11ksmrx/) for the deliverables they lead. Two limits define the role: * Leads do not manage the workspace. Team, Service Types, Deliverable Types, and Subscription are not theirs. * Leads cannot activate a Job or activate a Change Order, even on a Job they lead. ## Why a Lead cannot activate [Activating a Job](https://help.netnet.app/en-us/article/activating-a-job-what-happens-when-the-plan-locks-15b8p4o/) is the moment a plan stops being a draft and becomes the baseline everything is measured against. Net Net wants that decision to sit with workspace authority, so it stays with Owners and Admins. A Lead can build the whole plan and can raise the Change Order. Someone with workspace authority makes it real. # Member The Member is the execution role, and it is the role most of your team will hold. Members work the tasks assigned to them in [My Tasks](https://help.netnet.app/en-us/article/my-tasks-every-task-assigned-to-you-in-one-list-14wzzg7/), update status, log their own time, keep their own capture in [My Lists](https://help.netnet.app/en-us/article/my-lists-the-private-capture-space-only-you-can-see-sd3k9a/), talk in the Chat contexts they have access to, and see their own numbers in [My Performance](https://help.netnet.app/en-us/article/my-performance-your-own-effort-never-a-scorecard-1lcr4jc/). They do not see other people's tasks, other people's time, or other people's performance. They do not manage the workspace. It is a calm surface on purpose: the work you are responsible for, and nothing you have to administer. # Who can change someone's role Role changes happen in **Settings → Team**, from the member's row. * Owners and Admins can set someone to Admin, Lead, or Member. * Promoting someone to Owner is an Owner's call, and so is demoting one. * Leads and Members do not change anyone's role, including their own. The role you pick when you send an invite is the role that person lands in when they accept. You can change it afterward like any other role change. A role is how someone participates in this workspace. Making a new Owner should always be an existing Owner's decision, whether it happens through the Team table or through an invite. # Where the user roles show up Most of the product does not ask you to think about roles at all. The places where you will notice them: * **Settings.** Team, Service Types, Deliverable Types, and Subscription are Owner and Admin work. * **Job activation and Change Order activation.** Owner and Admin only, always. * **Performance.** Owners and Admins see the whole workspace. Leads see the Jobs they lead. Members see My Performance. * **Monthly Seat Cost.** An Owner-level input, and it stays out of every operational surface. || Sales is coming to Net Net in Q3 2026 and is not in the app yet. Everyone in a workspace holds exactly one of the four. ###### What can an Owner do that an Admin cannot? **Four things: promote or demote Owners, change the subscription, change payment information, and set Monthly Seat Cost.** Everything else an Owner can do, an Admin can do too. ###### Why can't a Lead activate a Job they are leading? **Because activation turns a plan into the baseline the Job is measured against, and that decision sits with workspace authority.** Leads can build the entire plan and raise Change Orders. Owners and Admins activate. ###### Can an Admin make someone an Owner? **Promoting someone to Owner is an Owner's decision.** Admins manage the rest of the roles, meaning Admin, Lead, and Member, and they can change those freely. ###### What happens if we only have one Owner and they leave? **Promote the new Owner first, then change the old one.** A workspace needs at least one Owner at all times, because subscription, payment, and ownership decisions have nowhere else to live. ###### Does a Member ever get more authority on a specific Job? **Yes, through Job Lead.** Any active user can be named Job Lead on a Job and picks up Job Lead authority there.
